Graham Harvey & Co, your local accountants in Portsmouth, will always try to give an estimate of fees if requested, these should never be treated as fixed quotes. Unfortunately, due to the nature of our work, we can never be sure how long an account job will take as it depends very much on the standard of records that you supply us with. Likewise, with tax work the amount of time involved can vary quite considerably for different clients.
Our policy, therefore, is to charge fees for both productive and administrative work according to time spent and the hourly rate for the members of staff concerned. A full explanation of fees is available upon request at any time. We reserve the right to amend rates from time to time without notice to take account of increased costs etc.
In most cases fees remain similar year after year and invoices for fees are normally issued with the presentation of accounts, but when there is a considerable amount of tax or other work involved, separate invoices may be issued as appropriate at other times of the year.
Where fees are likely to exceed approximately £500 I recommend that a Bank Standing Order be set up to make monthly payment on account for fees. I must stress, however, that these are "payments on account" and not guaranteed to fully cover the eventual fee. They will of course be shown as a deduction on your Invoice. I should also mention that where tax refunds are anticipated it is our normal practice to deduct any fees outstanding before forwarding the balance to yourself.
Our terms of business are settlement of fees within fourteen days, unless it has been agreed in writing that fees will be deducted from a forthcoming tax refund. Where no tax refund is expected, then our fees must normally be settled before we will forward the accounts to HMRC. Interest at the rate of 2% per month may be charged on fees paid late. If our fees are not settled in accordance with these terms we may instruct independent debt collectors whose charges will be added to and payable with the invoice debt.
